This Privacy Policy explains how Pressia Pty Ltd (ABN 32 691 495 397) (“Pressia”, “we”, “us”) collects, uses, discloses, and protects personal information when you use the Pressia platform and visit pressia.io (the “Service”).
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using the Service, you agree to the handling of your information as described here.
1. Information we collect
We collect the following categories of personal information:
- Account information — your name, email address, password (stored in hashed form), and profile details.
- Organisation information — your organisation’s name, ABN, team members, and workspace settings.
- Customer content — the media enquiries and related correspondence you forward or upload, which may contain personal information of third parties such as journalists.
- Usage data — log data, device and browser information, IP address, and records of actions taken in the Service.
- Communications — support requests, feedback, and other correspondence with us.
2. How we collect it
We collect personal information directly from you when you create an account or use the Service, automatically through your use of the Service, from your organisation’s admins, and from email forwarded into your workspace from your connected mailboxes.
3. How we use your information
We use personal information to:
- provide, operate, and maintain the Service;
- generate AI assessments, summaries, and suggested drafts from your enquiry content;
- authenticate users and keep the Service secure;
- provide support and respond to your requests;
- analyse usage and improve the Service’s features and performance;
- send transactional messages and, during a pilot, occasional updates about your participation; and
- comply with our legal obligations.
4. AI processing
A core part of the Service uses artificial intelligence to assess and draft responses to media enquiries. To do this, relevant content is processed by AI models, including those operated by trusted third-party AI providers acting as our processors under contract.
We do not sell personal information. We select AI providers that, by default, do not use content submitted through our service to train their general-purpose models. AI providers process your content only to return results to us so we can provide the Service.
5. Disclosure and service providers
We share personal information with service providers who process it on our behalf under contract, including providers of cloud hosting and databases, email delivery, AI processing, and analytics. We also make information available to your organisation’s admins and members as part of the collaborative workspace.
We may disclose information where required or authorised by law, or in connection with a business sale or reorganisation. We do not sell your personal information. A current list of our key sub-processors is available on request.
6. Overseas disclosure
Some of our service providers may store or process information outside Australia, including in the United States. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
7. Third-party personal information
When you forward or upload communications that contain other people’s personal information (such as a journalist’s name and contact details), you confirm that you are entitled to provide that information to us and to have us process it to provide the Service. We handle that information in accordance with this Policy.
8. Cookies
We use essential cookies to keep you signed in and to operate the Service, and may use analytics cookies to understand usage. You can control cookies through your browser settings, though disabling essential cookies may affect how the Service works.
9. Data retention
We retain personal information for as long as your account is active and as needed to provide the Service, and afterwards as required to meet legal, accounting, or operational obligations. Pilot participants may export or request deletion of their data in accordance with the applicable pilot terms. We will delete or de-identify personal information when it is no longer needed, subject to our legal obligations.
10. Security
We take reasonable steps to protect personal information, including encryption in transit, access controls, and monitoring. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Your rights
You may request access to, or correction of, the personal information we hold about you. To make a request, or if you have a privacy concern, contact our Privacy Officer at contact@pressia.io. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Children
The Service is intended for business use and is not directed to individuals under 18. We do not knowingly collect personal information from children.
13. Changes to this Policy
We may update this Privacy Policy from time to time. The “last updated” date at the top reflects the most recent changes, and we will take reasonable steps to notify you of material changes.
